The Role Reporting to the Finance Manager, you will Manage our head office, dealing with any general enquiries within the Head Office.
In addition, you will manage group contracts and relationships with internal and external clients including facilities maintenance, IT and phones.
Responsibilities include managing cost control within the group, managing diaries and meetings within the group, projects, and managing and developing effective group processes to ensure a smooth operation.
Executive PA to the company Directors and senior management team.
Organising company meetings and conferences. Group travel bookings and procurement. Internal and external communications.
Your main aim as a part of the Head Office team will be to ensure the ongoing smooth day to day running of the PURE Head Office function and support across the group.
This role will involve a wide variety of work including internal liaison with each of the salons to ensure the accurate and regular flow of all financial information and to examine any discrepancies, efficient bookkeeping processing to ensure monthly management accounts and cash flow projections can be produced and communication with external parties will also be required.
Key Relationships Internal: Finance Manager, Salon/Spa Managers, Head Office including Sales & Marketing, HR External: Suppliers.
Main Duties & Responsibilities • Dealing with enquiries by telephone, email, and in person • Organising, filing, and storing documents and electronic information; maintaining office systems • Finance report generation and information gathering • Purchase Order system management • Complete monthly payroll for the group • Ensure company accounts, accounts system and contract administration up to date and accurate on a monthly basis. • Preparation of regular reconciliations to be reviewed by the Finance Manager, to complete monthly bank and VAT reconciliations • To complete bookkeeping for company and close off each month end producing accurate profit and loss account, balance sheet and trial balance so that monthly management accounts and cash flow forecasts can be produced. Head Office Management • Preparation of service provider quotations and management of ongoing contractual relationships with suppliers eg IT, maintenance contractors to help minimise costs and maximise profitability within the group. •
